Before the Event, These Are the Remaining Deliverables

1. Today’s Leadership Meeting (Highest Priority)

Objective: Assign ownership.

Today’s agenda should be:

  1. Vision (5 min)
  2. Review Project Brief (10 min)
  3. Confirm Team Roles (15 min)
  4. Confirm Partner Outreach (10 min)
  5. Marketing Timeline (10 min)
  6. Open Questions (10 min)
  7. DADODQ (10 min)

Outcome: Everyone leaves with something they own.

2. Assign Owners

We need to leave today’s meeting with owners for:

  • Artist recruitment
  • Vendor recruitment
  • Volunteer coordination
  • Donation collection
  • Marketing/social media
  • Photography/video
  • DJ schedule
  • Setup/tear down
  • Check-in table

No task should leave the meeting without an owner.

3. Partner Instructions

Good Days and KJInTheBuilding are waiting.

They don’t need another conversation—they need direction.

Today, send them:

  • Event overview
  • Date/time/location
  • Their role
  • What you need from them
  • Deadline for confirmation

4. Marketing Assets

We still need:

  • Event flyer
  • Registration/check-in page
  • Instagram announcement
  • Partner graphics
  • Artist announcement
  • Vendor announcement

5. Artist Recruitment

Goal:

  • Fill all 10 performance slots.

We should have:

  • Artist application (or simple signup form)
  • Performance order
  • Contact list

6. Vendor Recruitment

Start inviting:

  • Food
  • Clothing
  • Community organizations
  • Health organizations
  • Local businesses

7. Site Layout

Draw the map.

Include:

  • DJ booth
  • Artist performance area
  • Donation drop-off
  • Check-in
  • Vendors
  • Seating
  • Pool access
  • First aid
  • Restrooms

This will save you hours on event day.

8. Registration / Check-in

This connects directly to the operating system we’ve been building.

People should be able to:

  • RSVP
  • Check in
  • Join your community list
  • Receive future event updates
